Plant and Fleet Compliance Starts Before the Job Does
Before a vehicle leaves the yard or a machine starts work, someone needs to know it has been checked, who is using it and whether any reported problems still need attention.
For a busy electrical, plumbing, HVAC, refrigeration or mechanical services business, those answers can be scattered across paper forms, spreadsheets, text messages and someone’s memory.
A pre-start sheet stays in the ute. A licence renewal arrives in an email that nobody updates. A fault is photographed, but the image never reaches the person responsible for repairs.
Each gap creates more work for the office and more uncertainty for the people on site. As the field team grows, keeping the records connected becomes increasingly valuable.
Make the record useful where the work happens
A practical plant and fleet process should help your team answer five questions:
- Which asset are we using?
- Have the relevant checks been completed?
- Is the person using it appropriately qualified and authorised?
- Has anything been found that needs action?
- Can we retrieve the record when it is needed?
These questions belong together. A completed checklist is much less useful if the asset number is unclear or the reported fault is never followed up.
AXITRAQ brings asset records into a central register, giving equipment a consistent identity and a place for its supporting information.Explore asset management.
Start with the correct asset
When crews share vehicles, trailers, generators and tools, informal names can create confusion. “The spare generator” may mean something different to each person.
A consistent asset record gives everyone the same reference point. AXITRAQ’s Operations App supports QR and barcode scanning to identify assets, with start and stop actions used to record asset sessions.See the mobile app guide.
Choose identification that suits the equipment and its working conditions. Position labels where they are readable, and make checking the asset identity part of the routine.
Connect the check to the next action
Decide what should happen when someone finds a problem, before the first checklist is completed.
In AXITRAQ, a configured fail-trigger can prevent the asset session from starting and notify relevant personnel. An Out of Service action marks the asset inactive, while Book Service can create a maintenance request. Inspection records retain responses and supporting photos.See checklist outcomes.
These controls support the handover between operator, supervisor and maintenance team. Your working procedure should also make clear who responds, how equipment is isolated when necessary and who authorises its return to use.
Include the person using the equipment
Checking the machine is only part of preparing for work. The person assigned to it also needs the relevant credentials and authorisation for the task.
AXITRAQ’s qualifications matrix and configurable expiry alerts help managers review credentials and plan renewals. Asset access can also be assigned to people.See people management.
Build that review into scheduling, particularly when using subcontractors or changing an operator at short notice. Discovering a missing document before dispatch gives you more options than discovering it at the gate.
Plan for sites with poor reception
Field records need a practical route back to the office. AXITRAQ supports offline queuing for field actions and synchronises them when connectivity returns. Photos captured through the app are watermarked by default with operator and capture details.See offline working and photo capture.
Make successful synchronisation part of the routine. Information waiting on a device has not yet reached the office, so urgent faults still need a clear escalation procedure.
Start with one crew and one repeatable process
You do not need to reorganise the whole business at once:
- Register the equipment one crew uses regularly.
- Check that physical labels match the records.
- Assign relevant checklists and agree how failures are handled.
- Review the crew’s qualification records and renewal responsibilities.
- Run a working day from asset identification through to office review.
Watch for unnecessary typing, unclear questions and incomplete handovers. Improve the process before extending it across the business.
The aim is to make good records a natural result of doing the work, reducing the need to reconstruct events afterwards.
